Managing Your Pharmacy Refill Settings
Overview
Pharmacy Self-Serve Refill Configurations give you direct control over how and when your patients receive refill reminders and requests. Instead of contacting Support, you can now manage your refill logic, medication eligibility, and fulfillment timelines directly from your dashboard.
Where to Find These Settings
To manage your refill configurations:
- Log in to your Nimble Pharmacy Dashboard.
- Navigate to the Settings tab in the side navigation bar.
- Select the Refills sub-tab.
Available Configurations
1. Refill Reminder Timing (Non-Controlled)
This setting determines how many days before a medication is due for a refill the patient receives an automated reminder.
- Default: 5 days (Collect) / 3 days (Connect).
- Range: 0–10 days.
- Note: Changes apply to all fills sold after the update is saved.
2. Refill Reminder Timing (Controlled)
Customizes the reminder window specifically for controlled substances to ensure compliance and timely processing.
- Default: 3 days.
- Range: 0–10 days.
- Prerequisite: Controlled schedule imports must be enabled for your pharmacy. If you don't see this option, contact your Client Partner.
3. Controlled Medication Eligibility
You can toggle whether controlled medications are eligible for refill reminders and patient-initiated requests. You can apply this "all-or-none" or at a specific Schedule level (e.g., allow Schedule IV but exclude Schedule II).
- Effect: Updates take effect immediately.
4. MedSync Refill Eligibility (PioneerRx Only)
For pharmacies using PioneerRx, you can choose to include or exclude MedSync patients from automated refill reminders.
- Default: MedSync patients are eligible for reminders.
- Control: Use the toggle to turn reminders off for these specific patients to avoid communication overlap with your existing MedSync workflow.
5. Pharmacy Fill Time (Days to Fill)
Available for Nimble Collect only.
This setting tells the system how many days your staff needs to prepare a refill request. This directly affects the Estimated Time of Arrival (ETA) shown to patients in the app.
- Default: 5 days.
- Range: 0–10 days.
- Pro-Tip: If your "Fill Time" is longer than your "Reminder Timing," you will see a warning. We recommend setting your reminder buffer to be equal to or greater than your fill time so patients have enough time to request and receive their meds.

Frequently Asked Questions
Why can't I save my settings?
Ensure your values are within the 0–10 day range. If you need a buffer longer than 10 days, please contact Customer Success for specialized configuration.
Why don't I see the Controlled Medication options?
Your pharmacy may not have controlled schedules enabled for import into Nimble. Contact your Client Partner to update your pharmacy profile permissions.
Does changing "Days to Fill" affect orders already in my queue?
No. Changes to "Days to Fill" will only apply to new refill requests submitted after the change is saved.
